Dental Patient Engagement Software 2026: Communication, Teledentistry & Marketing

Dental patient-engagement technology spans three very different jobs: communicating with existing patients, delivering care or triage remotely, and acquiring new patients. Vendors increasingly blur those boundaries, so practices should evaluate each workflow separately.

Avized tracks three Patient Engagement categories: Patient Communication, Teledentistry, and Marketing & Acquisition.

1. Patient Communication

The Patient Communication category includes reminders, two-way texting, recall, forms, reviews, patient intake and other communication workflows.

What to evaluate - Two-way SMS/MMS versus one-way reminders. - Recall and reactivation automation. - Online scheduling or scheduling links. - Digital forms and intake. - Review/reputation workflows. - PMS write-back. - Shared inbox and team routing. - Multi-location controls. - Consent and opt-out management.

The critical question is workflow depth. A product that sends reminders is not equivalent to one that can update appointments, route patient messages and write structured data back into the PMS.

2. Teledentistry

The Teledentistry category includes platforms that support remote consultation, triage, monitoring or care coordination.

What to evaluate - Synchronous video versus asynchronous case review. - Image/document capture. - Specialist referral workflows. - State licensure and provider-network model. - Consent and documentation. - Integration into the clinical record. - Billing/reimbursement support where relevant. - Emergency triage and escalation.

A teledentistry platform should be evaluated against the actual clinical use case. Orthodontic monitoring, emergency triage, specialist referral and new-patient consultation can require very different capabilities.

3. Marketing & Acquisition

The Marketing & Acquisition category includes agencies, website platforms, SEO, paid media, reputation tools and patient-acquisition software.

What to evaluate - Channel ownership: SEO, paid search, social, direct mail, referrals or a mix. - Website ownership and portability. - Call tracking and lead attribution. - New-patient conversion reporting. - PMS integration. - Agency retainer versus software subscription versus media spend. - Contract length and termination rights. - Who owns advertising accounts, domains and analytics data.

The most important metric is not clicks or impressions. It is the cost per kept new-patient appointment, ideally segmented by location and treatment type.

How the categories connect

A practice can generate a lead through marketing, schedule the patient through communication software and then use teledentistry for remote triage. That creates an attribution problem if the systems do not share data.

Before adding another patient-engagement product, map:

  1. where the lead originates;
  2. where the patient identity is created;
  3. where the appointment is booked;
  4. where communications are stored;
  5. how the patient reaches the clinical record;
  6. which system reports conversion.

For multi-location groups, this architecture matters more than any one feature.
